Job description

Our client, a growing and highly regarded Houston-area law firm, has a newly created opportunity for an experienced Legal Billing Coordinator to join their team. The Legal Billing Coordinator will ov ersee the firm's complete full-cycle legal billing process. The coordinator will manage everything from time release and prebill generation to client account maintenance, trust accounting, and e-billing. The ideal candidate should have expertise in Legal Management Systems (LMS), handle LEDES file configurations seamlessly, and collaborate effectively with attorneys to ensure accurate and timely client invoicing.

Key Responsibilities


Prebill Generation & Time Management



  • Review Work-in-Progress (WIP) ledgers to ensure all unreleased time and expense entries are finalized.

  • Release and approve pending time entries to lock them for the active billing cycle.

  • Generate, organize, and distribute prebills from the LMS by originating attorney or billing attorney.


Prebill Review & Time Transfers



  • Process returned, marked up prebills from attorneys by accurately executing edits, fee adjustments, and write-downs.

  • Review and refine time entry narratives for clarity, grammar, and compliance with strict client billing guidelines.

  • Execute time transfers to safely move misallocated time entries between matters.


Trust Accounting & Unallocated Cash (UAC)



  • Manage client trust ledgers and apply trust funds to satisfy approved, outstanding final invoices.

  • Investigate and reconcile Unallocated Cash (UAC) to ensure unapplied payments are correctly matched to open invoices.

  • Monitor retainer balances and assist with trust disbursement tracking.


Client Data Maintenance



  • Maintain clean master data by updating client profiles, billing addresses, and delivery preferences.

  • Configure custom client billing arrangements, including specialized discount rates, payment terms, and tax settings.


Invoicing, LEDES, & E-Billing Uploads



  • Finalize, post, and print/email traditional PDF invoices for standard-billing clients.

  • Map UTBMS task, activity, and expense codes accurately to prevent invoice rejections.

  • Generate, format, and audit LEDES files for corporate e-billing.

  • Upload finalized LEDES invoices directly to third-party e-billing portals and proactively resolve any immediate validation errors.


Qualifications & Skills



  • Experience: 4+ years of hands-on legal billing experience within a law firm environment.

  • Software Proficiency: Advanced knowledge of popular Legal Management Systems (LMS) and major third-party e-billing portals such as, as CounselLink, LegalX, Tymetrix, Legal Tracker, CounselGo, Brightflag, BillingPoint.

  • Excel Proficiency: Advanced Excel skills for reporting and complex data reconciliation.

  • Technical Skills: Mastery of LEDES file structures, UTBMS coding, and WIP/ledger reconciliation.

  • Communication: Strong written communication skills for editing narratives and collaborating with firm partners.

  • Attention to Detail: Exceptional accuracy in data entry, financial calculations, and compliance auditing.
