Location: Ocala, FL
Job Type: Full-time (Mon-Thurs) / Half-day Fridays
Pay: $19.00 - $25.00 per hour (based on experience)

About Our Firm

We are a small, professional law office practicing Bankruptcy, Construction Law, and Probate Law. Our team values confidentiality, professionalism, accuracy, and a positive, respectful workplace. We are seeking an experienced Office Assistant / Paralegal (Non Certified) to support attorneys, manage administrative operations, and interact with clients in a professional manner.

Schedule

  • Monday - Thursday: 8:30 AM - 5:00 PM
  • Friday: 8:30 AM - 12:00 PM
  • Dress Code: Business casual

ResponsibilitiesFront Office & Client Interaction

  • Answer phones, take messages, and gather pertinent information
  • Greet and pre-screen clients; manage general inquiries
  • Maintain a professional and courteous office environment
  • Serve as main office representative when interacting with:
  • Judges' Judicial Assistants
  • Court personnel and clerks
  • Attorneys
  • Potential, current, and former clients

Administrative Duties

  • Paper filing and electronic file maintenance
  • Create, organize, store, upload/download, and share documents
  • Data entry and typing (55+ WPM)
  • Schedule appointments via email and phone
  • Copying, scanning, printing, and general document handling
  • Prepare mailings, labels, envelopes, and postage
  • Order office supplies and maintain inventory
  • Maintain organized workspace and filing systems
  • Assist with billing, invoicing, and basic bookkeeping (as needed)
  • Operate and troubleshoot office hardware:
  • Printers
  • Copiers
  • Telephone/voicemail systems

Paralegal Duties

  • Prepare discovery requests (interrogatories, requests for production)
  • Draft and format legal documents using templates:
  • Motions
  • Notices of hearing
  • Probate documents
  • Bankruptcy petitions and schedules
  • Client correspondence
  • Open and maintain physical and electronic client files
  • Assist with hearing preparation and schedule coordination
  • Manage attorney calendars, deadlines, and case milestones
  • File documents via Florida EPortal (electronic filing)
  • Conduct basic legal research and gather case information
  • Organize discovery, case materials, and document sets

Travel & Errands

  • Run errands as needed (valid driver's license & insurance required)
  • Document delivery/pickup to/from courthouses
  • Post office runs, copy service runs
  • Office supply procurement
  • Occasional grocery or material pickup for office meetings
  • Longest travel: Bushnell, Sumter County (up to 45 miles one-way, approx. twice per year)

  • Microsoft Word
  • Microsoft Excel

  • Adobe PDF tools
  • Gmail & Google Calendar
  • Zoom
  • BestCase (bankruptcy software)
  • General internet research
  • Basic familiarity with legal case management systems

Requirements

  • Minimum 2 years of law office experience
  • Minimum 2 years of paralegal experience
  • Ability to type 50+ WPM
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Ability to work independently and take initiative
  • Professional conduct and strict confidentiality
  • Valid driver's license, reliable transportation, and auto insurance

Preferred Skills

  • Experience with bankruptcy, probate, or construction law processes
  • Familiarity with Florida online court filing (e-Filing)
  • Proficiency with Microsoft Office, Adobe, and legal document workflows
  • Notary Public certification (or willingness to obtain-firm will assist)
