Masterpiece Signs & Graphics, Inc.is seeking an Office Manager. Position is full-time. Responsibilities include, but are not limited to, greeting clients, answering phones, data entry to include accounts payable/receivable. Position requires excellent written and oral communication skills; organizational skills and attention to detail; motivation to learn and grow with the company. Qualification skills include QuickBooks; Microsoft Office; 3-5 years experience; 2 yr. degree desired but not required.
Office Manager duties:
- Answer phone (screen and direct calls)
- Greet customers and direct them to the appropriate person
- Complete transactions when clients come to pickup finished goods (take the money, deliver the product)
- Enter data into QuickBooks (invoices, CC receipts, accounts receivable, etc.)
- Pay bills from QuickBooks
- Create word documents, such as letters, contracts, and policies, upon request
- Create dynamic spreadsheets upon request
- Appointment scheduling
- Enter data into various spreadsheets as "Jobs" are turned in.
- Manage and keep on top of accounts receivable
- Edit and organize digital photos
- Help with reconciliations of books
- Sales (Minimal) in the event that key people are unavailable, the AA needs to be able to give customers at least some basic info and direction
- Manage paperless document system
- Maintain (and sometimes create) an organizational work flow for documentation and office related items
- Light HR duties, mainly the paperwork associated.
- Any other duties that are asked of them as time progresses
